For FCMS Cloud — Food Cost Management System

UXI Information Technology Solutions ("we", "us", or "our"), a company based in the Philippines, provides FCMS Cloud — Food Cost Management System (the "Service"), available as a web application and a mobile app. This Privacy Policy explains what information we collect when you use the Service, how we use it, and the choices and rights you have.
FCMS Cloud is a cloud-connected service: to sign in, register a device, and sync your business data across devices and branches, your information is processed on our servers. By creating an account or using the Service, you agree to this Policy.
1. Information we collect
A. Account and identity information
When you create or use an FCMS Cloud account, we collect:
- Your name
- Email address (used as your sign-in identifier and for email verification)
- Password (stored only as a secure cryptographic hash — never in plain text)
- Account role (e.g. company owner or team member)
B. Company and branch information
To set up your business in the Service, we collect details you provide about your company and its branches:
- Company name and display name
- Company address, email, and contact number
- Branch names and locations
C. Device information
FCMS Cloud links each installation to your account so data can sync safely. For this we collect:
- A device identifier and device name you assign during registration
- The branch a device is assigned to
- Technical information needed to maintain a secure session (e.g. authentication tokens)
D. Business and operational data
As you use the Service, we store the business records you create so they can be synced and reported on. This includes:
- Items, item categories, and units of measure
- Recipes and menus
- Vendors and purchases
- Inventory levels, stock transfers, usage, and spoilage
- Sales orders, invoices, taxes, revenues, and expenses
- Team members you add and the roles or permissions you assign them
2. How we use your information
We use the information we collect to:
- Create and authenticate your account, including verifying your email with a one-time code (OTP)
- Register your devices and assign them to the correct branch
- Store and synchronize your business data across your authorized devices and branches
- Provide reporting, cost calculations, and other core features
- Maintain the security and integrity of your account and our systems
- Respond to your support requests and notify you about important service changes
We do not use your information for advertising, profiling, or reselling, and we do not sell your data.
3. Sync across devices and branches
FCMS Cloud is designed to keep one consistent view of your business across the web app and every registered mobile device. Business data you create on one device is uploaded to our servers and made available to other devices and branches you have authorized. You control which devices are registered and which team members have access.
4. Data storage and security
Your account and business data are stored on secured servers. Passwords are stored only as salted cryptographic hashes, sessions are protected with authentication tokens, and access to your data is controlled by your account, device registration, and assigned roles. We take reasonable technical and organizational measures to protect your information, though no method of transmission or storage is completely secure.
5. Data sharing and disclosure
We do not sell or rent your data. We may disclose information only:
- With your consent or at your direction
- To trusted service providers (such as hosting and email delivery) who process data on our behalf under confidentiality obligations
- When required by law, regulation, or valid legal process
- To protect the rights, property, or safety of UXI, our users, or the public
6. Data retention
We retain your account and business data for as long as your account is active or as needed to provide the Service. You may request deletion of your account and associated data at any time; we will delete it except where we are required to retain certain records to comply with legal obligations.
7. Your rights and choices
You have the right to:
- Access and update the information in your account
- Manage the devices registered to your account and the team members you have added
- Request a copy or deletion of your account and business data
- Withdraw consent or stop using the Service at any time

8. Children's privacy
FCMS Cloud is a business tool intended for use by businesses and their staff. It is not directed to children under 13, and we do not knowingly collect personal information from children.
9. Changes to this policy
We may update this Privacy Policy from time to time. When we make material changes, we will revise the effective date above and, where appropriate, notify you within the Service. Your continued use of FCMS Cloud after changes take effect constitutes acceptance of the updated Policy.
